Purpose

Under minimal direction, provides confidential, diversified, professional and sophisticated secretarial and administrative support to the Manager, Rates and Regulatory Affairs and staff in the specified area of responsibility handled by those individuals. Handles confidential information.

Accountabilities

  • Works under the direction of a supervisor and performs a wide variety of tasks according to the needs of the Company.
  • Files reports, letters, etc., and develops and maintains the current file index.
  • Assists in maintaining the Company library.
  • Files documents with the PUC (Public Utilities Commission) pursuant to PUC guidelines.
  • Aids in the preparation and publication of reports and studies.
  • Maintains Regulatory information on the Company website.
  • Assists with proofreading of documents, preparation and distribution of customer notices.
  • Maintains the Company’s tariff schedules.
  • Distributes documents to related Service List.
  • Protects the confidentiality of information to which this position will have access.
  • Crafts letters, memoranda, and Company forms as required on Company’s computer system using word processing, database, presentation, publishing and spreadsheet software.
  • Receives, screens and places phone calls.
  • Reviews and answers correspondence.
  • Performs shipping and receiving of mail and packages.
  • Coordinates and makes arrangements regarding communications, activities, conference, meetings, travel and other business needs

Education & Experience

  • High school diploma or equivalent required.
  • Two-year degree or certification from an applicable school is preferred.
  • Minimum of five years of continually progressive experience. Two years of education may substitute for the same years of experience.
  • Experience with utility regulation is preferred.
  • Must have advanced experience and knowledge of proper business procedures, payroll recordkeeping, elementary bookkeeping, file management procedures, written correspondence, etc.
  • Have rapid typing skills of approximately 50 words per minute with minimal errors is preferred.
  • Possess effective verbal and written communication skills to communicate in English with others including internal and external customers under normal and adverse conditions.
  • Maintain knowledge and use of personal computers and intermediate to advanced skills in word processing, spreadsheet, database, presentation, and publishing software are required. Experience in all Microsoft Office products is preferred.
  • Possess effective interpersonal skills and interact with people at all levels of the organization. Maintain effective and cooperative working relationships with those contacted in the course of work. This includes, but is not limited to, those whom the position reports to, supervisors, coworkers, PUC staff, public, customers, vendors, etc.
  • Ability to interact and communicate in a positive constructive manner.
  • Must possess effective customer service skills and telephone etiquette skills.
  • Must be multi-task oriented and have the ability to prioritize and coordinate multiple assignments with limited time constraints and changing requirements.
  • Must be a self-starter, highly organized, and work independently and in a team environment.
  • Able to compose non-routine correspondence on own initiative.
  • Must meet established goals and deadlines.
  • Must demonstrate a highly-developed sense of responsibility.
  • Exercise independent judgment, discretion, finesse, and tact in all areas of work including matters of a sensitive and/or confidential manner.
  • Be available for potentially working weekends, holidays, and overtime as required.
  • Possess a valid driver’s license with acceptable driving record for driving Company vehicles.
  • Be able to travel for business.

The distribution business group (Liberty Utilities) provides rate regulated water, electricity and natural gas utility services to over 750,000+ customers in the United States. The transmission business group invests in rate regulated electric transmission and natural gas pipeline systems in the United States and Canada.
