Mandate: This position is responsible for providing operational and project related administrative assistance within the Technical Services team of Operations for Liberty Power's energy assets.

Job Functions:

  • General
    • Organize, attend and minute various project and team meetings.  Coordinate and track action items for follow-up.
    • Liaise with other departments and document originators/contributors to finalize documents.
  • Document Preparation
    • Prepare, edit, format and quality control of documents (with hyperlinks, table of contents, table of figures and tables, appendices, references, incorporation of excel files documents, incorporating photos and graphics into documents, converting documents to pdf, etc.).
    • Assist with preparation, updating, and maintenance of various project documents including business cases, project justification summaries, project charters, project plans, project status reports, project schedules (MS Project), technical memos, requests for information, project completion reports, etc.
    • Assist with preparation, updating, and maintenance of various team administrative documents including project/task trackers, resource forecasts, issues logs, etc.
  • Procurement and Cost Tracking
    • Assist with preparation of financial work order requests, vendor set-up forms, purchase orders, cost tracking and accruals forecasts.
    • Assist in preparation of request for proposals and quotes, preparation of tender documents.
    • Assist in preparation of project variance monthly reports.
  • Document Control
    • Proactive in maintaining and improving document templates, formatting and proofreading documents, organization of documents, archiving of documents.
    • Document coordination and control including retrieving, filing and archiving of historical and new documents (reports, drawings, reports, maintenance records, etc.) in proper locations for various LPCo assets.
  • Other
    • Assist in tracking and monitoring of technical services training.
    • Photocopying, printing, courier, mailing, etc.
    • Assist in travel coordination and arrangements.

Minimum Qualifications:

  • College or professional program of 3 years or less
  • Previous experience as an Administrative Assistant or Project Support Coordinator
  • Administrative diploma or equivalent with a minimum of 5 years of experience.
  • Previous experience working on projects related to power generation and in an engineering environment desirable.
  • Strong proofreading/grammar skills for technical documents.
  • Excellent working knowledge in Microsoft Word, Excel, Power Point, Adobe, Outlook.
  • Knowledge and experience with document management systems (e.g. SharePoint), procedures, filing systems.
  • Knowledge and experience in a project based environment. 
  • Knowledge of project management principles (PMBOK) desirable.

  • Ability to work independently with minimal supervision.
  • Flexible in work assignments and priorities and undertake other tasks as assigned.

  • Ability to succeed in LPCo provided safety training.
  • Valid driver’s license and ability to rent vehicles on the corporate account.
  • Ability and flexibility to travel within Canada and the United States as needed.
  • French/English bilingual is an asset
