Description
The Administrative Clerk position is in many ways is a face of our Company to other companies and individuals, as well as has detailed interaction with internal personnel.  It is of the utmost importance that the individual in this position exudes professionalism.  The duties performed will include, but not be limited to: Liberty Utilities office building management, office supply management for all locations; ordering of forms, office equipment management – working with IT personnel (printers, faxes, copiers, etc), including maintenance, supplies, copier readings, new purchases, etc.; courier and land line and cellular phone needs. Accounting duties include maintaining accounting files for storage including boxing up files for storage, AP vendor set up, daily ACH processing and other duties related to accounting, accounts payable, accounts receivable that support the accounting functions of the Company. Performs other duties as assigned.

Essential Functions
This information is intended to be descriptive of the key responsibilities of the position. The following examples do not identify all duties performed by any single incumbent.Vendor set-up & credit applications
  • Daily customer ACH processing
  • Sorts and distributes mail
  • Manage monthly signoff packet
  • Coordination and maintaining of contracts associated with the building/facility including but not limited to repairs, maintenance, cleaning company, alarm/security system, etc.
  • Office supply coordination for all locations including maintaining contracts with supply companies, ordering for local office and approving all location orders via internet.
  • Ordering of forms (business cards, office forms, letterhead, etc).
  • Maintain office equipment (printers, faxes, copiers, scanners, etc), including maintenance, supplies, copier readings for leasing company, new purchases, etc – assist with transition of some equipment to be managed by local IT personnel.
  • FedEx and courier needs.
  • Coordinates various company meeting and event needs including food, equipment rentals (projectors), etc.
  • Available to support accounting team in preparation and reporting for rate cases, audits and other regulatory needs as well as budgeting.
  • Handle department storage filing which may include preparing files for storage.  Work with local liaison for offsite storage.  Will maintain accounting storage log separately from centralized log.
  • Performs other duties as assigned.
Requirements
  • Work requires a high school diploma.  Recent experience in an office environment interfacing with many types of individuals.  Experience managing an office and handling multiple administrative type tasks.  Excellent internal and external communication skills.  Ability to take initiative and follow direction.  Additional academic education, professional training or work experience which demonstrates the potential to perform the duties of the position.
  • Quick typing and 10-key skills. 
  • Entry level accounting experience such as accounts payable a plus
  • Knowledge of MS Windows, Word and Excel.
  • Excellent written and oral communication skills are required
  • Must be able to handle a variety of situations as they arise.  A positive and professional attitude and approach to tasks, personnel and vendors are required.
  • Demonstrate organization skills and attention to detail
  • Valid State Driver’s License.
