Contribute to the efficiency of the Engineering and Operations Departments by producing a variety of business documents, manipulating data in spreadsheets and/or databases, establishing and maintaining filing systems, and providing assistance throughout the departments when needed for various tasks.

Job Functions:

  • Contribute to the efficiency of the Engineering and Operations Departments by organizing various forms of communication such as email, phone calls, mail, meeting rooms, calendars, etc.
  • Create purchase requisitions, receive items, add and update vendor information, and acquire project and work order numbers within the work management system.
  • Review time sheets, invoices, and other billing information received to assure accuracy and the proper distribution of expenses to FERC accounts.
  • Coordinate, schedule, and reserve conference rooms and meeting locations for various departmental meetings. Assemble material for meetings as required. When requested, take notes during meetings. Organize refreshment and/or meal support when needed.
  • Coordinate and reserve travel for various department members when needed. Provide flight options, book hotels and rental cars when needed. Provide itinerary confirmations and details to travelers.
  • Arrange for office services such as equipment repairs and building maintenance.
  • Assist with job order packaging and/or RFP packaging. Deliver and retrieve documents and drawings or other small parcels to and from local consulting engineers, attorneys, and other vendors.
  • Update the Engineering and Construction work schedules regularly. Assist department in project reviews, i.e. making sure job prints match job order. Assist department in field data acquisition as needed.
  • Accept consultant design CU template and import it into Maximo to create estimate.

Minimum Qualifications:  High school diploma or equivalent. Electric utility or related experience preferred. Must be able to quickly and accurately produce documents and spreadsheets using Microsoft Office and other production software. Must have working knowledge of computers and be able to create, file, and retrieve documents. Excellent written and verbal communication skills.
